Recipient Actions Overview

When a document is sent to a recipient, Upsign tracks the actions the recipients take.  On an in-flight document, Upsign will tell you who the document is waiting on and the action that person needs to take.  You can track the progress of the document and who it is waiting on though the progress dialog.  See viewing recipient progress to learn more.

The following actions are being tracked and recorded for each recipient:

  • Viewed - The recipient received the request to sign / approve and has viewed the document on their device.
  • Completed - The recipient completed all their assigned actions on a document (e.g., filling out required fields, signing)
  • Approved - An approver recipient has approved the document
  • Declined - An approver recipient has declined to approve or a signer has declined to sign the document
  • Authenticated - The recipient passed required authentication.  A simple example would be when a recipient enters the correct access code, granting them access to complete the signing process.
  • Sent to Someone Else - A recipient has chosen to use the Send to Someone Else action and has delegated their signing responsibility to someone else.
  • Downloaded - A recipient or CC has downloaded a copy of the document
  • Print, Signed & Uploaded - A recipient has chosen to use the Print & Sign action.  They have downloaded the document, signed it on paper and uploaded the scanned version.

In addition to recipient actions, Upsign tracks the overall document status which is a little broader status to cover the document and all recipient actions.  Although there are some similarities to the recipient actions, the document statuses give a more general document status and also record the actions of the sender, including;

  • Created - The date / timestamp when the document was first created
  • Sent - The document was sent to one or more recipients
  • Failed Delivery - The document was sent to the recipient based on the recipient information provided in the creation process.  However, the recipients mail server rejected the email.  Most often, this status is indicated when an incorrect email address is entered by the sender.
  • Voided - The document was voided by the sender.
  • Out for Signature - The document has been sent to one or more approver or signers and is waiting on action from one or more recipients.
